Upper School Personal and Academic Counseling Secretary
Job Summary:
To provide high quality administrative support services covering greeting visitors, corresponds and interacts with new students, the withdrawal students, and their families, providing the support to students’ wellbeing, coordinates and organize events, daily calendars, budget planning, tracking expenses and placing orders to updated materials to ensure Upper School Personal and Academic Counseling Office operate smoothly.
Key Responsibilities:
Maintain positive image of Personal and Academic Counseling Office
- Provide excellent service and professional manner to welcome new families and all visitors to ensure positive image of Taipei American School and the Personal and Academic Counseling Office.
- Maintain, oversee, and manage TAS website information related to Personal and Academic Counseling Office page, upload power point slides from parent teas to TAS website, coordinate dates of Academic and Personal Counseling events for school-wide calendar.
Interact with confidential information and provide the support to students’ wellbeing
- Provide all support to Personal and Academic counselors in situation that related to students’ wellbeing in highly confidential manner including interacts with students, faculty, parents, psychologist, administrator, nurse, hospitals, and security guards).
Manage the Personal and Academic Counseling Office
- Manage Personal and Academic Counseling office and all counselors’ calendars, and schedule appointments with parents, students, and faculty. Provide accurate and prompt information to ensure all inquiries regarding Personal and Academic Counseling are well-answered with professional service.
- Provide support to all counselors, including preparing, collect, coordinating and assembling information with budget planning, expenses, and purchasing.
- Serve as a primary support for Personal and Academic Counseling event, organizes, coordinates, sets up and manages events, parent meetings, counselors’ calendar to ensure the smooth operation and successful events.
- Organize, conduct inventory, and maintain the Academic and Personal Counseling Resource Library
- Assist with the Testing Coordinator for PSAT testing if required
Selection criteria:
- College or University graduate
- At least two years administrative experience
- Excellent command of the English language. Fluency in Mandarin skills are required
- Knowledge of software and hardware on office equipment: Copier, Calculator, Scanned, Printers, Laminator, and willingness to learn.
- Proficient computer skills and knowledge of Microsoft applications and database required: (including Word, Excel, Outlook, Power Point, Publisher, Microsoft Teams, GSuite, SchoolSoft Conference Manager, Adobe pdf, Zoom Webinar, Destiny Catalog for Library system, The Financial Edge, Cumulative folder, Adobe PDF, Power School, The Finalsite, Youcanbook,me, FMX)
- Capability of using established hard copy and electronic filing system
- Excellent customer service approach and outstanding interpersonal/communication skills
- Strict confidentiality with ability to process and deal with confidential information, students or families in crisis/ events
- Must be a self-starter with excellent problem-solving skills and conduct multitasking
- Must be able to translate between English and Mandarin in both verbal and written forms
- Ability to deal with problems, concerns, and requests in a professional manner
- Basic Concept of accounting and procurement
Work schedule
07:30 AM to 16:00 PM, Monday – Friday, inclusive of a 0.5 hour lunch break
