Upper School Office Manager

Job Summary:

Responsible for independently performing office management and project management to support supervisors to monitor the operations and to coordinate graduation and to manage administrative support to the Upper School department. 

Key Responsibilities:

  • Perform independently and monitor a plethora of special projects, coordinate and organize annual and special projects to facilitate students’ course taking and daily activities. This includes assigning tasks to other members of the office staff.
  • Supervise the US Office secretaries and assistants by overseeing their daily work, providing guidance, and conducting annual evaluations. Oversee US staff and department secretaries in activities related to the Upper School.
  • Coordinate every aspect of the graduation process—including assigning responsibilities, monitoring progress, meeting with internal and external resources, tracking the financial aspects of the graduation- to ensure the smoothie operation of Upper School Office.
  • Coordinate and disseminate information between the US Upper School Office and all internal and external resources—including US departments, faculty, staff, students, alumni, parents, visitors, suppliers and vendors—to ensure excellent communication with all aforementioned constituents.
  • Oversee the needs of staffing for Upper School Office year-round and communicate with the supervisors in order to provide immediate support to students, teachers, staff, and parents.
  • Provide administrative aide to Principal and supervisors in divisional office budget planning and monitoring as well as preparation for financial materials and reports as required year-round.
  • Schedule appointments, attend meetings, provide verbal or written translations, and compose and prepare confidential reports to assist Principal to ensure effective schedule management, accurate effective communication and daily operations independently.
  • Supervise the procedure for handling faculty/staff/students requests to ensure it meets timeline and school policy 
  • Interact professionally with parents, visiting scholars, and guests.
  • Provide support to visiting scholars and other professionals who visit TAS
  • Generally, represent Upper School in all ways necessary whenever necessary
  • Other assignments and projects as assigned by the supervisor

Qualifications:      

  • University graduate, Advance degree preferred
  • Minimum five years administrative experience, with proven experience in a staff supervisory position
  • Strong communication skills in English and Chinese: listening, speaking, reading and writing
  • Ability to handle problems, concerns, and challenging requests with effective problem-solving skills
  • Highly effective organizational and prioritizing skills with attention to detail and accuracy
  • Maintain strict confidentiality of sensitive information and professional conduct with internal faculty/staff, parents, students and visitors
  • Ability to work independently and make sound judgment as required
  • Flexibility to handle multitasking with highly effective organizational and prioritizing skills with attention to detail
  • Effective office administration and coordinating skills, project planning and resources management skills
  • Ability to rapidly and consistently produce error-free correspondence, reports and records
  • Strong knowledge of computer skills and ability to use Microsoft Office software and is capable to learn and use of job specialized software/applications as required
  • Effective Leadership and Team Building: Demonstrate strong leadership skills by fostering a collaborative environment, supporting team members, and promoting a cohesive team spirit

Work schedule:  07:30 AM to 16:00 PM, inclusive 0.5   hour lunch break
