Development Office Manager

Job Summary:

The Development Office Manager produces detailed fundraising reports and ensures financial reconciliation. They provide excellent customer service to donors, assist with donor cultivation, and retain comprehensive knowledge of the TAS community to support fundraising activities. They work closely with the CAO on preparing for meetings, providing donor information, and assisting with event planning and execution. Additionally, the Manager conducts research on prospective donors, manages operational budgets, and collaborates with the Finance and IT department for various efforts.

Duties and Responsibilities:

Database Management and Reporting:

  • Produce various fundraising reports, including weekly updates, monthly financial summaries, and multi-year comparison reports for internal meetings and publications. These reports must be incredibly detailed and error-free.
  • Generate reports for the finance department, including all gifts, annual pledge reports, and other requested reports.
  • Ensure that gift reports are effectively maintained with 100% accuracy.
  • Gift records and account balances are reconciled with accounting ledger with zero discrepancy.
  • Maintain detailed tracking documents on fundraised money spent and work closely with the finance department on fundraised statements cross-checking, ensuring meticulous attention to detail.

Financial Monitoring and Reconciliation:

  • Monitor fundraised financial accounts, ensuring gift records and reports are reconciled with accounting ledger details.
  • Follow TAS accounting procedures to produce accurate financial reports for various purposes such as weekly updates for CAO, Board meetings, and the Annual Report.
  • Complete monthly transfers of funds from gift accounts to fundraised accounts.
  • Provide gift-related information and support during auditors’ visits.
  • Ensure there is no room for mistakes in the accounting of fundraised money.
  • Assist with operational budget screening and approval of fundraised money spent.

Donor Relations and Customer Service:

  • Provide excellent customer service to donors.
  • Produce monthly stewardship lists for the Head of School thank you letters.
  • Produce regular stewardship lists for the CAO thank you letters.
  • Assist with donor cultivation by producing donor solicitation/analysis reports and generating lists of potential major donors.
  • Retain comprehensive knowledge of TAS community and constituent profiles to support donor relations and fundraising activities.
  • Draft multi-year pledge agreements, send out pledge reminders, and follow up on pledge payments.

Administrative Support:

  • Closely support the CAO, briefing them on meetings, constituents, donor information, where fundraised money has been allocated, and other pertinent details.

Event Planning and Execution:

  • Assist with planning and organizing fundraising and donor relations events, such as the Gala Ball, parent outreach evenings, cornerstone donor dinners, TAS anniversary celebrations, new building groundbreaking events, opening ceremonies, etc.
  • Manage event organization logistics, including liaising with venues, managing vendors, invitations, guest lists, and overall event coordination.
  • Handle budget control and price negotiations for major events.
  • Oversee specific event aspects such as securing bands, sound systems, photographers, transportation sponsors, and auction item solicitation.

Research and Prospecting:

  • Conduct research on prospective and current donors using various sources, including Mandarin media and internet searches.
  • Assist with guest profiles for donor cultivation dinners.
  • Generate lists of potential donors for multi-year pledges and campaigns.


  • Review Hope scholarship application forms and draft summaries for CAO review. Update the Hope scholarship report annually.
  • Work closely with the IT department to maintain and improve crystal reports, ensuring accuracy and meeting user demands.
  • Other duties as assigned by the CAO

Selection criteria:      

  • At least three years of proven successful experience in a senior secretarial position, a service-oriented position, a database management related position, and/or with resource/project management
  • Experience with successful handling of financial data
  • Advanced level required in English and Mandarin
  • College graduate
  • Strong communication skills in English and Chinese: listening, speaking, reading and writing
  • Ability to handle questions, concerns and challenging requests with effective problem solving skills
  • Ability to maintain strict confidentiality of sensitive information and professional conduct with constituents
  • Flexibility to handle multitasking with highly effective organizational and prioritizing skills with attention to detail
  • Effective office administration and coordinating skills, project planning and resource management skills
  • Ability to rapidly and consistently produce error-free correspondence, records, and reports
  • Strong computer skills including: use of a database management system; thorough
  • knowledge of and ability to use Microsoft Office software; and capability to learn specialized software/applications as required
  • Ability to complete financial tasks and produce accurate financial reports reconciled with accounting ledger details

Work schedule 07:30 AM to 16:00 PM, inclusive 0.5 hour lunch break
