HR Officer - Substitution & Leave Management
Job Summary:
Deliver efficient andhigh-quality administration of employee leave and substitute systems,providing essential logistical support to the HR Office to ensure the seamlessoperation of Taipei American School's HR functions without disruption or delay.
Core Duties and Responsibilities:
Substitution Arrangement and Coordination
- Manage daily faculty and support staff substitution arrangements, ensuring uninterrupted class and office operations through timely coverage.
- Prepare the substitute availability schedule and annual renewal report. Conduct new substitute HR inductions on the first day, assisting with inquiries and arrangements, and maintaining a standard induction manual guide.
- Assist with the annual review of the substitute faculty handbook.
Substitute Payroll Administration
- Maintain the substitution assignment and payroll database, ensuring compliance with school policies and procedures.
- Ensure data accuracy, process according to approved rates and schedules, and timely handling of substitute scheduling, assignment adjustments, and related inquiries.
- Prepare and distribute substitute monthly pay slips in accordance with the agreed schedule and standards.
Employee Leave Requests Administration
- Manage employee leave requests and related inquiries, ensuring that leave records are verified, accurately maintained, and updated in HR systems in compliance with school policy requirements and agreed process timelines.
- Prepare leave reports, including but not limited to daily attendance distribution, monthly leave reports, leave balance reports, annual accrued leave and ILB reports, and departing cashable leave reports.
- Manage the sensitive execution of Bereavement Leave and coordinate school condolence gestures (e.g., flower arrangements). Process policy-specific claims, such as Travel Reimbursements (Airfare), ensuring strict adherence to eligibility criteria before submitting the validated request for payment.
Other HR initiatives and projects as assigned.
Selection criteria:
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- At least five years full-time work experience in HR support function or office administration.
- Highly effective time management skills and punctuality
- Knowledge of Taiwan employment legislation and statutory requirements, with proven experience
- Strong administrative, organizational, and office skills with keen attention to detail
- Effective communication skills in both English and Chinese, with a strong customer service orientation
- Ability to work independently and make sound judgments as needed
- Capacity to consistently produce error-free correspondence, reports, and records
- Strong IT competency, with proficiency in word processing and spreadsheet software, and the ability to quickly learn job-specific systems and software as required
Work schedule: 06:30 AM to 15:30 PM; Monday – Friday, inclusive of 1 hour lunch break
