
HR Vetting and Compliance Officer
Job Summary:
This HR Officer is responsible for processing the employee pre-employment vetting requests, supporting employee relations and compliance requirements, and providing administrative assistance for employee evaluations and professional pathways. This role also coordinates employee health checks and assists with divisional student surveys, ensuring that these critical HR processes are executed efficiently and in alignment with school policies.
Key Responsibilities:
Employee pre-employment vetting and verification:
- Manage employee pre-employment vetting and verification requirements, including background and criminal checks, past employment record verification, and subsequent renewal checks, in accordance with established policies and procedures.
- Process background and criminal check requests for school-approved external (non-TAS) coaches, tutors/instructors, and school-sponsored visiting talent access instructors/masterclass clinicians, ensuring compliance with school policy requirements and agreed timelines.
- Assist with reference checks for support staff and substitute employees
- Manage and handling employment verification and proof of employment requests
- Assist with non-employee reference checks as needed
Employee Relations and Compliance
- Assist the Assistant Director - Employee Relations and Compliance with employment-related tasks, mandatory training requirements, and professional pathways, ensuring smooth implementation and adherence to school policies.
- Provide administrative support for Employee Assistance Program (EAP) and Diversity, Equity, Inclusion, and Belonging (DEIB) initiatives, ensuring documentation, communications, and compliance requirements are effectively managed.
- Assist with SSLMM-related documentation and processes, ensuring accuracy, organization, and compliance with required standards.
Employee Evaluations and Professional Pathways Administrative Support
- Assist the Assistant Director - Employee Relations and Compliance with maintaining accurate records and tracking employee evaluations and professional pathways, ensuring that all required documentation is submitted and stored in accordance with HR policies.
- Provide assistance in the organization of professional development and training events/activities related to support staff professional pathways, and coordinate with the professional development office on professional pathways scheduling for all employee/schoolwide development schedules as needed.
- Coordinate with HR leadership to ensure that evaluation processes, reports, and related materials are properly prepared, verified, and maintained annually.
- Provide logistical and administrative support for in-service training sessions related to employee professional pathways, ensuring timely execution and compliance with established standards.
Employee Health Check Coordination
- Coordinate with the Occupational Nurse to ensure that all employees meet statutory health check requirements upon initial employment and during renewal periods.
- Track and maintain records of employee health check compliance, ensuring timely follow-ups and adherence to government and school policies.
Support Staff Professional Pathways
- Work with HR leadership to implement a timely and cost-effective Professional Pathways program for Support Staff, ensuring that the evaluation process and measures are properly followed, and that relevant materials are prepared annually for all support staff in accordance with the agreed timeline and standards.
- Organize and administer in-service support staff training sessions in accordance with the standards and timeline established and authorized by HR leadership.
- Manage the logistical and administrative support for the Support Staff Professional Pathways program, ensuring reports and files are accurately prepared, verified, and maintained up to date.
Support Staff Labor Management Meeting administrative support
- Assist with SSLMM meeting organization and schedule coordination and offer relevant administrative support to ensure the smooth conduct of meetings and efficient operations.
- Prepare meeting minutes to ensure accuracy and compliance with required standards.
- Maintain SSLMM meeting minutes and relevant documentation, ensuring they are organized, accurate, and up to date.
Student Survey administrative assistance
- Provide administrative assistance to divisional principals and administrators in planning, preparing, coordinating, and executing student surveys, ensuring that survey reports are compiled in a timely manner according to divisional directives, agreed standards, and authorizations.
Other HR initiatives and projects as assigned.
Selection criteria:
- Bachelor degree, major in administration or human resources management preferred
- At least 5 years full time experience in HR full function or office administrative support
- Knowledge of Taiwan employment legislation and statutory requirements, with proven experience
- Language proficiency: English proficiency at an advanced level, Near-native Mandarin proficiency
- Strong logical and analytical thinking, with the ability to assess complex situations by considering causes and consequences
- Strict confidentiality with the ability to manage staff concerns, issues, and sensitive information independently and professionally
- Highly effective administrative, organizational, and coordination skills, with attention to detail to ensure error-free correspondence, reports, and data
- Ability to understand, communicate, comply with, and interpret basic immigration regulations, visa, or HR-related inquiries
Work schedule: 08:00 AM to 17:00 PM; Monday – Friday, inclusive of 1 hour lunch break
