Substitute Support Staff - Summer Academy Office Assistant

Job Summary:

The primary role of the Summer Academy Office Assistant is to provide comprehensive support to the Summer Academy program across various functions. This position involves a range of tasks as outlined below, with additional responsibilities assigned by the Enrollment and Admission Officer and Enrollment Manager as needed. This is an hourly contracted role that offers flexibility, but the Office Assistant is required to commit to some hours in the Summer Academy Office. The job spans from October to early July, with the peak period being from February to June. 

Job Duties & Responsibilities:

  • Handle general office duties, including answering phones, responding to emails, and providing excellent service to visitors.
  • Support both the Enrollment and Admission Officer and Enrollment Manager with application processing, managing enrollment records, maintaining accurate databases, and communication with applicant families.
  • Liaise with various offices to ensure a smooth launch of the Summer Academy Program, including Communications, Finance, Warehouse, TYPA, Facilities, Security, and Operations.
  • Assist in the design and production of the annual Summer Academy course catalog.
  • Attend parent events on campus that advertise and market the Summer Academy program.
  • Maintain confidentiality and ensure the security of sensitive information.
  • Process the enrollment and placement procedures for non-TAS summer applicants, including checking the receipt of tuition payment, course signatures/approvals, and collecting copies of foreign passports (non-TAS students).
  • Assist the Enrollment Manager with the preparation of student rosters for the start of the Summer Academy program.
  • Adapt to the needs of the Summer Academy team to ensure high-quality services for students, parents, staff, and faculty. Maintain a flexible and positive attitude in a fast-paced work environment.

Qualifications:      

  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
  • Attention to detail and commitment to accuracy.
  • Previous office or administrative experience is preferred.

Schedule and Commitment:

  • Contracted on an hourly basis.
  • Flexible hours, with a requirement to commit to some hours in the Summer Academy Office.
  • Availability from October to early July, with the busiest period from February to June.
