Human Resources Administrative Support Officer

We are seeking candidates with highly effective administrative, organizational, and coordination skills, along with meticulous attention to detail. These qualities are essential for ensuring error-free correspondence, reports, and data provision, which are integral to successful performance in this role.

Job Summary:

Provides high quality and effective administration of support staff learning and development, attendance management and employee pre-employment background checks and annual evaluation process to ensure TAS Human Resources support systems meet our school policies and HR operational standards. 

Key Responsibilities:

1. Support staff attendance

  • Manage support staff attendance requirements to ensure attendance records and reports, support staff work schedules, and work shifts are prepared, verified, and maintained correctly and updated in HR systems at all times per the agreed standards and timelines.

2. Employee Pre-employment screening and verification

  • Manage employee pre-employment screening and verification requirements including background and criminal check and past employment record verification, as well as subsequent renewal checks per the agreed policy and procedures.
  • Process background and criminal check requests for school approved external (non-TAS employees) coaches and tutors/instructors, including school sponsored visiting talent access instructors/masterclass clinicians per school policy requirements and the agreed timelines.

3. Support staff annual performance evaluation process

  • Manage support staff performance evaluation report submissions and filing to ensure the agreed management standards are maintained and consistent across all divisions and compliance with school policy.
  • Manage faculty/staff evaluation records and ensure required documentation and reports are submitted and filed in a timely manner per the agreed timelines and confidentiality is maintained.

4. Support staff professional development and training

  • Work with HR Director to develop a timely and cost-effective Professional Development (PD) plan for support staff which includes evaluation measures is prepared annually for all categories of staff and agreed with HR Director.
  • Plan, organize, and administer in-service support staff training sessions as per the standards and timeline agreed and authorized by HR Director.
  • Manage Support Staff professional development and training data to ensure reports and files are prepared, verified and maintained correctly and up-to-date.

5. Support staff committee coordination

  • Coordinate, attend and communicate for support staff committee meetings to ensure all questions are addressed and resolved and compliance with school policy.
  • Provide assistance and guideline to the SSC representatives for meeting preparation and proof-read meeting minutes.
  • Ensure meeting minutes are distributed and file per the school policies and requirement.

6. Student Survey administrative assistance

  • Provide administrative assistance to divisional principals/head to plan, prepare, coordinate and execute student survey to ensure survey reports are compiled in a timely manner as per the divisional directives, agreed standards and authorizations.

7. Other HR initiatives and projects as assigned by Assistant HR Director and HR Director.   

Qualifications:      

  • Bachelor degree, major in administration or human resources management preferred; Sector expertise HR certifications will be a plus
  • At least 5 years of proven administrative support experience
  • Knowledge of Taiwan employment legislations and statutory requirements with proven experience
  • Language proficiency:
    • English proficiency equivalent to advanced level
    • Near native Mandarin proficiency
  • Ability to think logically and analytically by testing all angles and able to analyze complex situation by looking at causes and consequences
  • Strict confidentiality with ability to manage successfully and independently with staff concerns, issues and sensitive information in a professional manner
  • Highly effective administrative, organizational and coordination skills with attention to details to ensure error-free correspondence, reports and data provision

Work schedule: 07:30 AM to 16:30 PM, inclusive 1  hour lunch break
