Alumni & Community Relations Manager

Job Summary:

The Alumni & Community Relations Manager is a core member of the TAS Advancement team, responsible for the day-to-day management of alumni engagement, community relations programming, and event support. Reporting to the Assistant Director of Alumni & Community Relations, this role bridges alumni and community work, owning key relationships and driving programming within their lanes while supporting the broader events and advancement calendar. The ideal candidate is organized, personable, and passionate about building lasting relationships within a dynamic international school environment. 

Key Responsibilities:

  • Alumni Relations
    • Serve as a point of contact for alumni inquiries, managing the alumni email inbox and ensuring timely, professional responses.
    • Drives the strategy and production of all alumni communications including e-newsletters, the TAS Alumni News magazine, social media, and the alumni website — owning the editorial calendar and ensuring a compelling, consistent alumni voice across all channels.
    • Gather, draft, and coordinate class notes and alumni spotlights for publications and digital platforms.
    • Oversee the annual Tiger Shop Pop-Up operation.
    • Lead the day-to-day implementation of the class agents and advocates program.
    • Track alumni milestones such as reunion years and notable achievements to support personalized outreach.
    • Serves as the primary person to coordinate and conduct alumni campus tours, representing TAS warmly and compellingly to visiting graduates.
    • Work closely with the Development Manager on alumni giving strategy and execution, including annual fund campaigns, reunion giving programs, and donor solicitation outreach.
    • Owns and develops the City-Based Volunteer Program — building relationships with alumni volunteers across cities, designing programming, and growing the network as a strategic asset for TAS engagement, giving, and community building.
    • Leads the Alumni Council as primary staff liaison — setting meeting agendas, driving programming, managing communications, and working with the Assistant Director to develop the Council into a meaningful advisory and engagement body.
    • Manages and grows the class agents and advocates program, developing relationships across graduating classes and using the network to deepen engagement and giving participation.
    • Manage alumni outreach initiatives including Tiger Baby packages, freshman care packages, and withdrawn student outreach.
  • Community Relations
    • Plan and execute community programming throughout the academic year in support of the Assistant Director.
    • Serve as a key liaison to the PTA, maintaining a close working relationship with PTA leadership and coordinating joint programming and events.
    • Plan and execute parent engagement events including community coffees, parent meetings, and other parent-facing programming.
    • Coordinate logistics and setup for administrative events, Head of School presentations, and internal school functions as directed by the Assistant Director.
    • Develop and implement initiatives that enhance parent engagement and strengthen the broader TAS community.
    • Support the development and distribution of community surveys to gather feedback and inform programming.
  • Events Support
    • Work closely with the Assistant Director to support the full range of TAS events — including major school and community events such as the annual gala, alumni reunions, milestone celebrations, graduation, donor functions, and PTA events — through proactive planning, research, vendor sourcing, supply ordering, and logistical coordination.
    • Prepare run-of-show documents, staffing plans, and day-of checklists.
    • Track event budgets and expenses; produce post-event attendance and summary reports.
    • Produce event materials including invitations, programs, signage, and digital assets.
  • Communications & Content
    • Draft and schedule email communications to parent, alumni, and donor segments.
    • Create and manage social media content related to community events and alumni programming.
    • Create presentations for PTA Board meetings, admin presentations, and other internal and external meetings.
    • Proofread and format Advancement communications prior to distribution.
    • Update and maintain alumni and community content on the TAS website.
  • Database Management
    • Maintain accurate records in Raiser's Edge and Finalsite including contact details, event data, and engagement history.
    • Build and run queries and reports to support outreach, event planning, and fundraising efforts.
    • Conduct regular database hygiene including deduplication and address updates.
    • Create registration links, track registrations, and produce attendee reports.
  • Advancement Support
    • Assist in the production of Advancement materials including content creation, printing, and distribution.
    • Support the Assistant Director and CAO on special projects as needed.
    • Other duties as assigned.

Selection criteria:      

  • Bachelor's degree in Communications, Marketing, Education, Public Relations, or related field.
  • 3+ years in alumni relations, community engagement, event coordination, or a related role; international school or non-profit experience preferred.
  • Experience with Raiser's Edge or similar CRM; Finalsite experience an asset.
  • Strong written and verbal communication skills; bilingual ability an advantage.
  • Highly organized with strong attention to detail and ability to manage multiple projects simultaneously.
  • Proficiency in Microsoft Office, Google Workspace, and Canva or similar design tools.
  • Warm, collaborative, and community-focused approach to work.
