Job Summary:

The Upper School ScienceAssistant supports the US Science Department in maintaining office spaces,performance of administrative tasks, and in executing other tasks as determinedby their direct supervisor. The role serves as the primary administrative liaisonfor the Science Department Chair and the Director of US Scientific Research,managing event and competition logistics and maintaining financial records inalignment with school protocols to ensure departmental operationalcontinuity.   

Key Responsibilities:

  • Administrative & Office Support: Ensure a well-run office by providing administrative support to teachers. This includes scanning and photocopying documents, managing general supplies inventory, maintaining office orderliness, and communicating with all TAS community members.
  • Procurement & Vendor Management 
    • Independent Procurement: Independently communicate with internal TAS departments and external vendors to prepare both standard and highly specialized purchase orders. 
    • End-to-End Management: Manage the end-to-end procurement procedure to ensure the unique, time-sensitive purchasing needs of the science and science research departments are met. Ensure all transactions strictly align with school protocols and departmental standards. 
    • Monitor PO statuses, reconcile deliveries against orders, resolve vendor discrepancies independently, and ensure accurate financial record-keeping for department budget tracking. 
  • Inquiry & Communication Management: Respond to general inquiries and relay messages to teachers, including the timely distribution of call slips. Ensure a smooth flow of communication both within and outside the department. Act as an effective communicator in Mandarin and English to transit necessary information through documentation, oral responses, and reports.  
  • Departmental Event & Supervisor Support: Provide high-level, proactive administrative support to the Science Department Chair and the Director of US Scientific Research on complex assignments. Anticipate Supervisors' needs to help streamline daily operations and departmental workflows. 
  • Event Logistics & Competition Management: Manage the end-to-end logistical execution for all Science Department events, outings, and major milestones (such as the annual Science Symposium). This includes serving as the primary vendor and operational liaison.
  • Oversee the administration of student entries for external competitions: Ensure all required data, registration materials, and submissions are processed with a high rate of accuracy and strictly within established timelines. 
  • Health, Safety & Emergency Support: Work closely with science technician to act as the central administrative emergency contact and communications hub for all science classrooms and laboratory settings, in a timely manner.

Selection criteria:      

  • College graduate, Minimum of two years successful secretarial and accounting related preferred
  • Advanced English and Mandarin fluent
  • Communication and interpersonal skills.
  • Organizational skills with strong attention to detail and ability to prioritize multiple tasks.
  • Computer skills, particularly in MS Word and Excel, with the ability to learn new software and systems as needed.
  • Working knowledge of procurement and budget reconciliation procedures, with proficiency in Excel or equivalent tools for tracking departmental finances. 
  • Knowledge of office equipment software and hardware (printers, scanners, copiers), with the ability to troubleshoot basic issues.
  • Ability to quickly learn and apply school procedures and systems, such as maintenance request platforms and other operational tools.
  • Ability to coordinate multi-vendor event logistics, including transportation, venue booking, and translation/interpretation support. 
  • Familiarity with science laboratory emergency communication protocols, and ability to relay information accurately to the appropriate technician, supervisor, or health professional during an emergency.

10-month position every school year   

Work Schedule: 07:30 AM to 16:00 PM, inclusive 0.5  hour lunch break 

Expected Start Date: August 2026. Please note that the selection process will not begin until late July or early August.
