Office of Learning Assistant Lead
JOB SUMMARY
As a leading member of the Office of Learning (OL) support cell, the Office of Learning Assistant Lead reports directly to the Deputy Head of School (DHOS) and works in close coordination with the Directors within the Office of Learning. The Assistant Lead manages the Office of Learning support cell function and provides supervisory and leadership support to the OL support cell, in addition to delivering comprehensive logistical, secretarial, organizational, and general administrative support to the six Directors of the Office of Learning: the Deputy Head of School, Director of Student Success and Wellbeing, Director of Belonging and Social Impact, Director of Academics, Director of Educational Technology, and Director of Faculty. This is a highly collaborative and adaptable role, in which responsibilities are shared across the OL support cell and coordinated according to agreed priorities and timelines. The OL support cell currently consists of four assistants, who collectively share the responsibilities outlined in the accompanying Office of Learning Job Responsibilities table.
The Assistant Lead serves as the primary point of reference for the Office of Learning (OL) support cell and acts as the custodian of shared functional responsibilities. The role is responsible for managing the OL support cell and assistants, ensuring the fair, effective, and timely distribution of shared tasks, and for monitoring and confirming that assigned responsibilities meet established requirements, expectations, and standards. The Assistant Lead provides clear guidance, coordination, and day‑to‑day supervisory support to the OL Assistants. In consultation with the Deputy Head of School and in coordination with Directors within the Office of Learning, the Assistant Lead may determine to assign or reassign specific tasks to team members as operational needs require.

OTHER POSITION SPECIFIC EXPECTATIONS
- Performs additional duties as assigned by the Deputy Head of School (DHOS), Head of School, and/or Chief Financial Officer (CFO).
- Holds team members accountable for assigned responsibilities and deliverables, ensuring outcomes meet agreed timelines, quality standards, and operational expectations.
- Exercises responsibility for prioritizing work and determining the assignment and reassignment of tasks among Office of Learning (OL) support cell team members as operational needs require, in consultation with the Deputy Head of School and, as appropriate, in coordination with Directors within the Office of Learning.
- Manages the Office of Learning (OL) support cell, providing leadership and supervision to the OL support team while ensuring the delivery of comprehensive logistical, secretarial, organizational, and general administrative support to the six Directors of the Office of Learning.
- Provides strategic guidance, coaching, and operational oversight to supervised Office of Learning assistants to ensure effective, consistent, and high‑quality support services.
OTHER POSITION SPECIFIC QUALIFICATIONS
- Advanced proficiency with spreadsheets and TAS systems (e.g., schoolwide ERP and related IT management platforms); demonstrated ability to quickly learn, support, and contribute to TAS’s open, flexible ERP environment and associated workflows/portals.
- Strong data management capability, proficient in managing and analyzing spreadsheet-based data, including creating and using PivotTables to summarize, validate, and present data accurately for reporting and decision support.
- Ability to manage electronic document and records systems, including OCR‑enabled capture and indexed keyword search for efficient retrieval
- Ability to supervise teammates and direct reports, including instructing, coaching, advising, and evaluating team members, and addressing performance or personnel matters with timely, fair, and equitable solutions.
- Demonstrated people management and collaborative teamwork skills.
- Consistent professionalism and confidentiality in all interactions.
- B.A. degree in Education preferred; U.S. degree is a plus.
- At least five years of successful secretarial experience required, including a minimum of three years of supervisory experience, demonstrating independence and strong planning ability. Experience in customer service and advanced technology skills is also required.
- Advanced language proficiency for English and Chinese in listening, speaking, reading and writing
CONTRACT: 12 Month Work Schedule
Work Schedule: 07:30 – 16:30 (with one hour lunch break)
