JOB SUMMARY

As a member of the Office of Learning (OL) support cell, the Office of Learning Assistant & Receptionist reports to the Executive Assistant to the HOS and Office of Learning Assistant Lead and provides comprehensive logistical, secretarial, organizational, and general administrative support to the six Directors within the Office of Learning: the Deputy Head of School, Director of Student Success and Wellbeing, Director of Belonging and Social Impact, Director of Academics, Director of Educational Technology, and Director of Faculty, as well as some administrative support to the Executive Assistant to Head of School and to the ERP project lead. This is a highly collaborative and adaptable role in which responsibilities are shared across the OL support cell and coordinated in accordance with agreed priorities and timelines. The OL support cell currently consists of four members, who collectively share the responsibilities outlined in the accompanying Office of Learning Job Responsibilities table.

The Assistant & Receptionist serves as the welcoming first point of contact for the Office of Learning (OL) support cell. In addition to sharing the core functional responsibilities of the OL support cell, this role may, as needed, provide additional administrative and logistical support to the Executive Assistant to the Head of School and to the ERP Project Lead.

OTHER POSITION SPECIFIC EXPECTATIONS 

  • Performs additional duties as assigned by the DHOS, Head of School and/or CFO.
  • Other administrative duties as assigned by the Office of Learning Assistant Lead
  • Performs receptionist duties of the OL, welcoming people, listening to their requests and directing them to the appropriate place. The functions require a cheerful, kind, patient and welcoming attitude.
  • Performs some supportive tasks as requested at times by the Executive Assistant to Head of School.
  • Performs some supportive tasks as requested at times by the ERP project Lead
  • The incoming general mails that the mail office will not be able to direct to specific employees will be directed to the Assistant & Receptionist. This role will use the utmost discretion in opening, handling and redirecting the mail where appropriate.

OTHER POSITION SPECIFIC QUALIFICATIONS 

  • Advanced proficiency with spreadsheets and TAS systems (e.g., schoolwide ERP and related IT management platforms); demonstrated ability to quickly learn, support, and contribute to TAS’s open, flexible ERP environment and associated workflows/portals. Strong data management capability, proficient in managing and analyzing spreadsheet-based data, including creating and using PivotTables to summarize, validate, and present data accurately for reporting and decision support.
  • Ability to manage electronic document and records systems, including OCR‑enabled capture and indexed keyword search for efficient retrieval.
  • B.A. degree in Education preferred; U.S. degree is a plus.
  • At least three years of successful secretarial experience required, demonstrating independence and strong planning ability. Experience in customer service and advanced technology skills is required.
  • Advanced language proficiency for English and Chinese in listening, speaking, reading and writing
