HR Specialist- Recruitment & Selection

Job Summary:

The HR Specialist – Recruitment & Selection is responsible for managing end‑to‑end recruitment and selection processes for support staff and substitution employees, ensuring timely, compliant, and high‑quality hiring outcomes. Reporting to the Director of Human Resources, this role plays a key part in supporting workforce planning, staffing needs, and safe hiring practices across the school. 

The position oversees recruitment operations including job postings, candidate coordination, interviews, reference checks, onboarding administration, and pre‑employment verification, while ensuring alignment with school policies, compliance requirements, and safeguarding standards. In addition, the role provides administrative and logistical support for professional staff recruitment, including coordination with recruitment agencies, maintenance of recruitment databases and job posting dashboards, and management of recruitment‑related documentation, expenses, and payment processes.

Working collaboratively with vetting, onboarding, and HR operations teams, the HR Specialist supports seamless hiring workflows and positive candidate and employee onboarding experiences. This role also contributes to recruitment communications, process improvements, and assigned HR initiatives and projects, while maintaining a high level of professionalism, confidentiality, and service quality. 

Core Duties and Responsibilities: 

  • Manages end-to-end recruitment and selection processes for support staff and substitution employees hiring and retention
  • Provides administrative and logistic support to divisions for professional staff (faculty and administrative positions) recruitment processes, including but not limited to agency communication & coordination, maintaining recruitment database dashboards and job listing, recruitment expenses, billing and payment requests
  • Ensures recruitment practices and procedures aligned with school policies, procedures and standards supports workforce planning and staffing strategy initiatives 
  • Manages end-to-end new employee onboarding processes and relevant platforms/systems, orientation programs and schedule, and transition management processes in coordination with HR Officers, to ensure successful and smooth onboarding and transition experiences per the agreed timeline and standards 
  • Ensures administrative compliance with recruitment-related school policies and legal requirements
  • Supports recruitment communications and candidate experience processes 
  • Collaborates with vetting and onboarding functions to ensure seamless hiring workflows 
  • Perform other HR initiatives and projects as assigned

Qualifications & Experience:   

  • A Bachelor’s degree in Human Resources, Business Administration, or a related discipline is required. 
  • At least 5 years of relevant experience, preferably within an international school or a multicultural setting, with a proven track record of managing high-volume, end-to-end recruitment and HR operations. 
  • Strong knowledge of labor laws, compliance standards, and HR best practices. 
  • Excellent communication, interpersonal, organizational, conflict resolution and problem-solving skills. 
  • Proficiency in HRIS/ERP systems and Microsoft Office Suite. 
  • Possessing HR credentials or relevant certifications is considered as a valuable advantage.

  • Commitment to confidentiality in managing sensitive issues and staff concerns independently and professionally.
  • Language Proficiency:
    • Advanced level of English proficiency in speaking, listening, writing and reading. 
    • Native Mandarin proficiency in speaking, listening, writing and reading. 

Work schedule: 08:00 AM to 17:00 PM; Monday – Friday, inclusive of 1 hour lunch break
